The absolute majority of data in an organisation is stored and processed in unstructured formats, i.e. in text documents, in image form, on websites, etc.
The content of such unstructured information grows very quickly, which means that its organisation and processing and searching in it becomes increasingly more difficult and time consuming. Besides being time consuming, working with unstructured information can also increase the probability of risks such as penalties for non-compliance with deadlines or information leaks.
Solution for unstructured information
This issue is resolved by systems known as Enterprise Content Management (ECM), whose purpose is to cover all types of unstructured information, the full scope of its use and security demands within the organisation and even outside it.
- For example, documents concerning a particular customer can be searched - within a few seconds the system searches contracts, invoices, correspondence, telephone records, i.e. all content pertaining to the given customer, even content dating back many years.
- It is possible to define approval rules for payment of incoming invoices - copies of invoices are automatically forwarded to individual approvers and, upon approval by all approvers, are automatically forwarded to the accounting system for payment.
- Another possible use of ECM is quality-control of all services provided by contact-centre operators. All records of communication with customers can be easily searched - i.e. voice records and records of customers' requests in internal systems. Contact-centre operators' compliance with internal processes can also be easily inspected.
